The department

We have one of the best regarded and largest property departments in the country.  Our specialisms include residential and commercial development, real estate investment, landlord and tenant, planning, secured lending and residential conveyancing.

Our House Builder Team offers a full service to private house builders and housing associations from site acquisition to plots sales.

Accountabilities

To provide professional, proactive, high level secretarial/administration support to an allocated group of fee earners and to the wider team, including:

  • File opening
  • Preparing draft contracts, transfers and leases upon receipt of reservation
  • Issuing contract packs and links to data rooms to buyers’ conveyancers
  • Scanning of hard copy correspondence and documents and e-filing in our document management system
  • Preparing engrossment documents for signature
  • Preparing completion statements, accounts forms and bills
  • Monitoring receipt of funds and liasing with Accounts to ensure outgoing payments sent
  • Dating completed transfers and leases, scanning and sending hard copies to buyers’ conveyancers
  • Requesting DS3s and consents to dealing from lenders, scanning and sending to buyers’ conveyancers once received
  • File closing
Qualifications/Experience
  • Understands and can use a variety of software packages such as Microsoft Word, Excel and Outlook to produce correspondence and documents to a high standard;
  • Assist in maintaining compliant and accurate file management and office systems;
  • Carry out photocopying and scanning in accordance with the firm’s paper-lite and clear desk policies;
  • Ensure that all electronic filing is up to date and maintained at regular intervals;
  • Proof read all work, checking for spelling and grammar;
  • Provide support to other administrators within the team and provide cover as and when necessary;
  • Ability to take and make internal and external telephone enquiries politely and professionally;
  • Clarify instructions from fee earners should they be unclear or if deadlines are not made explicit.
